What is bulk data import?
Bulk data import lets users upload a CSV or Excel file to populate records in your app — rather than entering them one by one. A new customer uploads their 800-row contact list. A retailer uploads next season's product catalogue. An HR manager loads all employees from a payroll export. An agency migrates client records from their old system.
Import is almost always a critical onboarding feature: if getting data into your app is painful, new users won't bother. A well-built import tool guides users through the process, catches errors before anything is committed, and gives clear feedback on what succeeded and what didn't.
Done poorly, bulk import leads to corrupted data, frustrated users, and hours of manual cleanup. Done well, it's a significant accelerator for user activation and data migration.

A basic import (upload a fixed-format CSV, validate required fields, insert records) sits at the lower end. A fully featured import with a column-mapping UI, row-level error reporting, duplicate detection, preview-before-commit, and async processing for large files sits at the higher end.
How it's typically built
The import flow has several distinct stages. First, the user uploads a file — CSV files are parsed with Papa Parse or a similar library; XLSX files with ExcelJS or xlsx. The parsed data is held in memory or in a temporary database table.
Before any records are committed, the app validates every row: required fields present, data types correct, values within allowed ranges, no duplicate identifiers. Validation errors are surfaced row by row — "Row 14: email address is invalid" — so users can fix their spreadsheet and re-upload without guessing what went wrong.
For files with non-standard column names, a column-mapping step lets users match their spreadsheet headers ("First Name", "Given Name", "name_first") to your app's fields. This dramatically reduces failed imports due to naming mismatches.
Large imports (thousands of rows) are processed as background jobs rather than inline with the HTTP request, using a queue (Bull, AWS SQS) to process in batches. The user is notified by email or in-app notification when the import completes.
Questions to ask your developer
- What file formats do we need to support? CSV-only is simpler; adding XLSX support covers most use cases.
- Do we need a column-mapping UI? If users will upload files from various sources with inconsistent headers, mapping is essential. If you control the template, it's optional.
- How should we handle duplicates? Decide upfront whether duplicate rows should be skipped, updated, or flagged as errors — this affects schema design, not just the import logic.
- What's the maximum file size / row count? Set a limit and handle oversized uploads gracefully before the processing stage.
- Do users need to be able to undo an import? Rollback capability (delete all records from import batch X) is significantly more complex but sometimes necessary for data integrity.
